1.Introduction

This Privacy Policy describes how Zevaux AI Receptionist ("Zevaux," "we," "us," or "our") collects, uses, processes, stores, and discloses information in connection with:

  • Our AI-powered phone receptionist services;
  • Our web-based dashboard, integrations, and automation tools;
  • Our website located at zevaux.com and related online properties;
  • Any software, APIs, SMS features, voice processing tools, or applications that we provide (collectively, the "Services").

Zevaux AI Receptionist is operated by JCER LLC, a limited liability company organized under the laws of the Commonwealth of MaryLand, United States.

By accessing or using the Services, you acknowledge that you have read and understood this Privacy Policy and agree to the practices described herein. If you do not agree, you should not access or use the Services.

2.Categories of Individuals Covered

This Privacy Policy applies to:

  • Subscribers — meaning businesses that contract with Zevaux to use the Services;
  • Authorized Users — meaning individuals permitted by Subscribers to access the Services;
  • Callers or End Users — meaning individuals who interact with a Subscriber's AI Receptionist;
  • Website Visitors — meaning individuals who visit our website or engage with our marketing materials.

This Privacy Policy does not govern how Subscribers use data they collect through the Services. Callers should contact the business they interacted with for privacy inquiries relating to that business's practices.

3.Definition of Personal Information

For purposes of this Privacy Policy, "Personal Information" means information that identifies, relates to, describes, references, or could reasonably be linked to an identifiable individual.

Personal Information may include:

  • Identifiers such as name, email address, phone number, IP address, or device ID;
  • Call recordings and voice data;
  • SMS message content;
  • Email content when authorized through integrations;
  • Appointment and scheduling details;
  • CRM data uploaded by Subscribers;
  • Commercial transaction data;
  • Internet or device activity information;
  • Inferences generated through AI processing.

Information that is aggregated or de-identified so that it cannot reasonably be linked to an individual is not considered Personal Information.

4.Information We Collect

4.1 Information Collected from Subscribers

When a business subscribes to Zevaux, we collect information necessary to provide the Services. This includes business name, contact information, billing information, authorized user credentials, and configuration settings.

Subscribers may upload or connect CRM systems, calendars, scheduling tools, email accounts, or other integrations. We access such information only as instructed by the Subscriber in order to provide the requested Services.

Subscribers are responsible for ensuring they have the legal authority to share any Personal Information with Zevaux.

4.2 Information Collected from Callers

When a Caller interacts with a Subscriber's AI Receptionist, Zevaux processes the information the Caller chooses to provide.

This may include:

  • Caller name and contact information;
  • Call content and voice data;
  • Appointment details;
  • SMS responses;
  • Any information voluntarily disclosed during a conversation.

Calls may be recorded and transcribed for service functionality, quality assurance, system improvement, and compliance with Subscriber configuration settings.

A Caller's interaction may be processed in real time by Zevaux systems and our authorized service providers. By continuing the interaction, the Caller consents to such processing.

Subscribers are responsible for providing legally required notice and obtaining consent for call recordings where applicable.

4.3 Google API and Gmail Data

If a Subscriber connects Google services, Zevaux may access authorized Google data solely to provide requested functionality, such as sending emails, triggering workflows, or managing calendar events.

Zevaux does not use Google user data for any below purposes:

  • Zevaux does not sell Google user data.
  • Zevaux does not use Google user data for advertising.
  • Zevaux complies with the Google API Services User Data Policy, including Limited Use requirements.

4.4 Automatically Collected Information

When individuals access our website or dashboard, we may automatically collect technical information, including:

  • IP address;
  • Browser type;
  • Device type;
  • Operating system;
  • Usage logs;
  • Cookie identifiers.

We use this information to maintain security, improve performance, analyze usage trends, and prevent fraud.

5.How We Use Personal Information

We use Personal Information solely for legitimate business purposes, including:

  • Providing and operating the Services;
  • Processing calls and SMS interactions;
  • Generating transcripts;
  • Scheduling appointments;
  • Sending reminders;

We do not below use Personal Information for any of the following purposes:

  • We do not sell Personal Information.
  • We do not share Caller Personal Information for cross-platform advertising.

6.AI Processing and Machine Learning

Zevaux uses artificial intelligence and machine learning technologies to process conversations, generate responses, detect intent, and automate workflows.

De-identified and aggregated data may be used to improve system performance and train AI models. We do not use identifiable Caller data to train public AI models.

Subscribers remain responsible for their own data governance and regulatory compliance.

7How We Share Information

7.1 With Subscribers

Information collected from Callers through a Subscriber's AI Receptionist is made available to that Subscriber. The Subscriber determines how it uses and retains that information.

7.2 With Service Providers

We may share data with cloud infrastructure providers, telecommunications carriers, analytics providers, and payment processors. These service providers are contractually required to safeguard information and use it only for authorized purposes.

7.3 Legal Compliance

We may disclose information if required by law, subpoena, court order, or governmental request, or when necessary to protect rights, safety, or prevent fraud.

7.4 Business Transfers

If JCER LLC undergoes a merger, acquisition, reorganization, or asset sale, information may be transferred in connection with that transaction.

8.Data Retention

Subscriber account data is retained while the account remains active and for a reasonable period thereafter for legal and operational purposes.

Caller data is retained according to Subscriber instructions and contractual agreements.

When we no longer need Personal Information, we delete, de-identify, or securely archive it.

9.Security

Zevaux implements commercially reasonable administrative, technical, and physical safeguards to protect Personal Information. These safeguards include encryption in transit, secure cloud storage, access controls, and monitoring.

No internet-based system can be guaranteed to be completely secure. Data transmission occurs at the user's own risk.

10.Children's Privacy

The Services are designed for business use and are not directed to children under 13. We do not knowingly collect Personal Information from children. If we become aware that such information has been collected, we will delete it.

11.Your Privacy Rights

Depending on your jurisdiction, you may have rights to:

We use cookies and similar technologies to operate the website, analyze traffic, and enhance user experience. Users may adjust browser settings to control cookies.

We do not currently respond to browser "Do Not Track" signals.

13.International Data Transfers

Zevaux operates primarily in the United States. By using the Services, you consent to processing of information in the United States, where data protection laws may differ from your jurisdiction.

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last Updated" date. Continued use of the Services constitutes acceptance of the revised policy.
